We built your existing HR and absence management platform and we have a responsibility to be transparent with you. The PHP runtime it depends on reached official End of Life on 31 December 2025. The risks are not theoretical — they are already active.

PHP 8.1 End of Life — 31 December 2025 (Already Passed)

Known vulnerabilities are now being published with no upstream patches available. Attackers actively scan for EOL PHP installations. Your system is currently exposed.

Unpatched Security Vulnerabilities

12 new PHP vulnerabilities were published in 2025 alone. None will receive official patches. Your staff data, holiday records, and absence logs are held in a system that can no longer be secured through normal channels.

Hosting Provider Forced Migration

Hosting providers are actively removing EOL PHP versions. Your host may force a server upgrade at any time, breaking the application entirely — causing unplanned downtime with no warning and no recourse.

Framework & Plugin Breakage

Replaces your current system — and goes further

GPS Geofence Clock-In/Out — Staff clock in automatically when they arrive at the depot, verified by GPS. No hardware required, no fobs, no cards.
QR Code Clock-In — Backup method for any staff without reliable GPS. A printed QR code at the entrance is scanned from the phone camera.
Live Dashboard — Real-time view of all 25–35 staff: clocked in, on break, absent, or on holiday, with timestamps and location context.
Break Tracking — Staff log break start/end from the app; admin sees average break durations and net working time for payroll.
Timesheet Generation — Automatic weekly timesheets from clock data, exportable to CSV/PDF for payroll. No manual calculation.
Absence & Sickness Management — Log sick leave, lateness, and other absences. Bradford Factor calculated automatically. Replaces the current absence module.
Return to Work Interviews — Prompted automatically after sick absence. Digital interview form completed in-app and stored against the record.
Holiday Planner — Staff request leave via the app; managers approve or decline with one tap. Entitlement balance always visible.
Entitlement Tracking — Pro-rata annual leave calculated automatically. UK bank holidays included. Carry-over rules configurable.
Push Notifications — Staff receive approval/rejection alerts; managers notified of new requests and absence events instantly.
PWA Mobile App — Installable on any iOS or Android device without an App Store. Works offline for clock-in events.

TradeForm

New capability — eliminates paper trade sign ups and more

PDF Template Upload — Upload existing pre-printed forms as PDFs. The system maps data fields to form positions, preserving your existing document formats.
Auto-Population — Customer name, address, account number, date, driver name, and delivery data are pre-filled automatically.
Digital Signature Capture — Customers sign directly on the driver's phone using a finger or stylus. Signature is embedded into the PDF.
eIDAS Compliant Signatures — Every signature is timestamped, geotagged, and cryptographically sealed to meet UK electronic signature law. Legally binding.
Instant PDF Generation — On signature, a completed PDF is generated and stored in the cloud document library immediately.
Auto Email Dispatch — The signed PDF is automatically emailed to the customer immediately after signing. No manual follow-up required.
Document Library — All signed documents stored centrally, searchable by customer, date, form type, or driver.
Awaiting Signature Chase — Automated reminders sent to customers who have not yet signed outstanding documents.
Multi-Form Support — Delivery notes, supplier agreements, compliance certificates, and custom forms — all in one system.
Offline Capability — Drivers can complete and sign forms without mobile signal; documents sync automatically when connection is restored.
